Overview

PACE Supply is looking for a dedicated Benefits Coordinator to join our Human Resources team in Rohnert Park, CA. In this role, you’ll be at the heart of our benefits and wellness programs, serving as the first point of contact for employee inquiries and ensuring a positive, supportive experience for our team members.

 

You’ll play a key role in administering benefits, coordinating Workers’ Compensation (WC) and Leave of Absence (LOA) processes, and partnering with cross-functional teams to keep everything running smoothly and in compliance. Responsibilities

Benefits Inquiries and Enrollment Support

  • Answer simple employee benefits questions (e.g., medical, dental, vision, life insurance) via phone and email; escalate complex inquiries to the Comp & Benefits Analyst as needed.
  • Process standard benefit enrollments, including qualifying life events; follow up with employees for past-due enrollments and notify payroll of late submissions.
  • Help employees file basic claims with providers and assist with Kaiser MERP substantiations.

Benefits Issue Resolution

  • Resolve simple issues between employees and benefits providers; walk employees through common resolution processes and escalate complex cases.

Retirement and Compliance Administration

  • Process beneficiary elections and loan payment change forms for 401(k) plans related to LOAs; execute mandatory mailings as directed.
  • Calculate COBRA costs for termination packages.
  • Assist with ACA mailings (focusing on digital distribution), contact employees about returned mail, and update/resend as needed.
  • Support ESOP and ESOP SAR mailings by assisting with preparation, contacting employees about returned mail, and updating/resending materials.

Open Enrollment and File Feeds Support

  • Assist with administrative tasks before and after open enrollment, including calling employees nearing deadlines and conducting audits.
  • Process discrepancy reports from file feeds and resolve minor issues, including calling employees when necessary.

Benefits Communications and Materials

  • Assist in creating benefits communication media and researching new provider programs as they become available.
  • Assist with data audits to ensure deadlines and requirements are met for annual compliance filings and mailings in coordination with the broker.
  • Order printed media (internally or externally), onesies, swag from vendors, and other benefits-related materials as needed.

Workers' Compensation (WC) and Leave of Absence (LOA) Administration

  • Set up files for new injuries, including adding details to incident reporting emails.
  • Update WC spreadsheets and logs, upload documents to HRIS System (IBS), and calendar follow-up appointments.
  • Copy files for external counsel on subpoenas and add to employee WC files.
  • Assist with distributing OSHA logs to branches.
  • Add MetLife notifications to OneNote, update LOA spreadsheets and IBS records.
  • Check LOA spreadsheets and timekeeping systems (TS) daily; send emails to payroll for employees returning from or starting leave, and notify the administrator of no-shows for return-to-work.

Qualifications

Minimum Work Experience and Skills

  • High school diploma or equivalent required; Associate’s degree in HR, Business Administration, or a related field preferred.

  • 1–2 years of experience in HR, benefits administration, or customer service roles; familiarity with benefits processes (medical, dental, vision, life insurance) is a plus (training provided for intermediate knowledge).

  • Strong attention to detail and accuracy.

  • Proficiency in Microsoft Excel and basic analytical skills.

  • Excellent time management skills with the ability to plan and prioritize effectively.

  • Strong verbal and written communication and interpersonal skills.

  • Ability to work independently and take initiative with minimal supervision.

Ideal Education

  • Associate or Bachelor's degree in Human Resources, Business Administration, Finance, or a related field. Master's degree or relevant certification is a plus.

Ideal Work Experience and Skills

  • 3+ years of proven experience as a Benefits Coordinator, Benefits Analyst, or similar role, with a strong understanding of benefits programs and compensation structures.
  • Experience in a high-volume HR environment and/or handling Workers’ Compensation (WC) and Leave of Absence (LOA) processes.
  • Proficiency with HR software and tools (e.g., payroll systems, OneNote for tracking).
  • HR certification (e.g., SHRM-CP) or benefits administration credential preferred.
  • Familiarity with HRIS systems.
  • Knowledge of labor laws, regulations, and compliance requirements related to compensation and benefits.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
